You will be working towards your L3 Business Admin apprenticeship by assisting in a range of duties relevant to your studies, you will also be set aside time to complete your learning.
The purpose of the role is to ensure the smooth daily operation of FST through providing administrative support to the Sales and Finance functions, undertaking general office management duties and acting as first point of contact for enquiries and visitors to the office.
Duties include:
Business Administration:
- Business Administration process development, improvement, review and maintenance, including automation of processes where appropriate
- Creation and maintenance of document templates, for use across the business.
- Creation and maintenance of customer and suppliers accounts in Xero and Autotask
- Purchasing of products from suppliers.
- Receive products from suppliers and organise returns as appropriate, maintaining stock-keeping records
Financial Administration:
- Digital archiving of financial records
- Monthly credit card and supplier statement reconciliation
- Management of monthly customer billing
- Issue monthly statements to customers, addressing and rectifying any queries in a timely manner
- Inputting of invoice data into Xero on a monthly / weekly basis
Sales/Customer Service:
- Field incoming queries and assist Service Champions in resolution
- Sales Order administration & management – generating quotes based on supplier pricing, sending quotes to customers for approval, raising Purchase Orders with suppliers
- Conduct product research upon request of Service Champions
Office Management:
- Act as first point of contact into the business for visitors, collections and deliveries
- Make business travel and accommodation bookings for colleagues

Essential skills and knowledge:
- Working knowledge of Microsoft Office
- Excellent organisation skills
- Strong communication skills
- A keen eye for attention to detail
Desirable criteria:
- Previous experience within a customer service role
- Experience of using Autotask and Xero software
- Experience of producing and preparing formal documentation
- Data input experience, including reconciliation of financial data

Desired qualifications
- Four GCSE’s A*-D or 9-3 including maths and English or equivalent
